1.0 Event Schedule

International Exhibitors (Tableau, Small, Large Zones): Deliver stock to Al Quoz warehouse by Tuesday 4 November.


Build Up Timings:

Before set-up Exhibitors must collect their passes from the Registration Desks placed at the entrance of the hall.

Breakdown:

- Starts Sunday 22:30, no early dismantling.

- All goods to be removed the same night unless pre-arranged.

Badge Collection:

- Badges available at the Organizer Desk during build-up: Thursday 6 November

- Contractor badges mandatory for build-up/breakdown.

 
2.0 Venue Information

Venue: The Concourse, Dubai Outlet Mall Extension, E611 – Dubai, UAE.

Parking: An indoor multi‑story car park with 2,625+ spaces is located approximately 50m from the halls. An outdoor lot with 770 spaces is within a five‑minute walk -> Free

Loading: Directly from The Concourse multistorey parking complex

Shuttle Buses: Provided from Downtown Dubai and other hubs (schedule TBA).

Onsite Services: ATMs, pharmacy, F&B, prayer rooms available within The Dubai Outlet Mall


Accessibility: The Concourse is designed for inclusive access: 

- Wheelchair‑accessible halls and public areas 

- Reserved parking for disabled guests

- Accessible restrooms on ground and upper levels

- Elevators accommodating standard wheelchairs with low‑level controls

- Doorways suitable for mobility aids


3.0 Exhibitor Packages

Tableau [15 sqm]: Includes carpet, fascia, lighting, socket, table, 2 chairs, 2 passes. Warehouse delivery required

Small Zone [64 sqm]: Includes carpet, fascia, sockets, lighting, furniture, 4 passes. Warehouse delivery required

Large Zone [100 sqm]: Includes carpet, fascia, sockets, lighting, furniture, 6 passes. Warehouse delivery required

Artist Alley [6 sqm]: 1 Trestle Table, 2 chairs, 1 Mesh grid panel, 2 passes. Sales allowed

Designer Alley [6 sqm]: 1 Trestle Table, 5 chairs, 1 Mesh grid panel, 2 passes. No sales allowed

TCG Small [9 sqm]: 1 Trestle Table, 2 chairs, 13 amp socket, 3 passes. Sales allowed

TCG Large [15 sqm]: 2 Tables, 4 chairs, socket, 5 passes. Sales allowed


4.0 Exhibitor Badges

Badge Allocation: Each exhibitor receives badges according to their package (see Section 3).

Submission: Names must be submitted by [31 Oct] using the badge form 

Collection: Badges collected onsite at Organizer Desk during build-up.

Contractor Badges: Required for all crew working build-up and breakdown (arranged via organizer).

Rules: Badges are personal, non-transferable, must be worn at all times, and lost badges will incur a replacement fee.

5.0 Logistics & Operations

Shipping & Deliveries:

- Publishers (Tableau/Small/Large) deliver stock to Al Quoz warehouse.

- No direct deliveries without approval.

- F&B Thursday

Build-Up:

- Contractor badges are mandatory

- Aisles must remain clear

- PPE recommended in build areas

Breakdown:

- Begins Sunday 22:30, aisles clear by TBD- Waste removal is exhibitor responsibility

Storage:

- No storage inside the venue

- Daily restocking allowed before opening



6.0 Stand Fitting & Technical Services

Artists and Designers:

Do's:

- Use velcro, removable adhesives.

- Keep displays within booth footprint.

- Submit custom builds for approval.

Don'ts:

- Drill, nail, or paint venue structures.

- Rig banners without approval.

- Brand outside allocated booth area.

Height Restriction: 4m maximum unless approved by the organizer.

F&B

Technical Services: Electricity, internet, AV, rigging available via Concourse order forms but through the organiser (Appendix C).


7.0 Health, Safety & Security

Emergency: First aid onsite, venue hotline available.

Fire Safety: Exits must remain clear, no open flames or gas cylinders, fabrics must be fire-retardant certified.

Evacuation: Follow Concourse procedures and maps (see Appendix B).

Security: Overnight security present, exhibitors responsible for valuables.


8.0 Cleaning & Catering

Cleaning: Venue provides daily aisle cleaning. Exhibitors responsible for booth cleaning.

Waste: Construction and packaging waste must be removed during build-up. Penalties apply for abandoned waste.

Catering: Outside food not permitted. Sampling requires organizer and venue approval.


9.0 Marketing & Promotion

Listing: All exhibitors featured on event website and social media

Social Media: Use #tabletopme

Optional Activations: Branding opportunities, demo sessions, sponsorships available.


10.0 FAQs

Can I sell at my booth? Yes (Exhibitors, Artists, TCG). No (Designer Alley).

Is storage available? No, only daily restocking.

Where do I collect badges? Organizer Desk during build-up.
